Job Description:
Legal Assistant
The candidate performs duties requiring specialized knowledge and discretionary decision-making, such as taking and transcribing dictation, typing complex legal documents, correspondence and opinions into final form and preparing other general correspondence. Prepares ordinances, resolutions, and other legal documents as needed. Prepares draft letters and exhibits for Public Information Act requests while adhering to strict timelines. Prepares or supervises the preparation of agenda packages, minutes resolutions and other related materials. Oversees codification of Code of Ordinances, Development Code and update departmental code books. Serves as liaison between prosecutors/attorneys and several City departments. Receives and screens telephone calls and visitors routes callers and visitors to appropriate person. May give directions or answer questions. Provides information regarding departmental policies and procedures to various city departments and to citizens, community leaders, members of boards and commissions, etc. Provides principal secretarial support to the City Attorney and may dispose of matters of routine nature at the direction of the City Attorney; relieves City Attorney of operational and administrative duties; maintains the department calendar, making appointments and arrangements for meetings and conferences. Maintains department s payroll/timekeeping records including employee leave records. Drafts ordinances, resolutions and contracts for review by attorneys. Responsible for updating and distributing City s Code of Ordinance book. Acts as the law librarian and maintains law library. Orders, monitors and maintains office supply inventory. Prepares purchase requests, receiving reports, checking requisitions, and monitoring purchasing activities. Maintains regular and punctual on-site attendance. Performs other duties as assigned. Must have High School Diploma or GED equivalent. Should have 4 years of progressively responsible experience in a secretarial position which involves high public contact, discretionary decision-making, handling of confidential matters and administrative duties. OR Associate degree in Secretarial Science from an accredited college or university and 2 years of progressively responsible experience in a secretarial position which involves high public contact, discretionary decision-making, handling of confidential matters and administrative duties OR Any combination of related education, experience, certifications, and licenses that will result in a candidate successfully performing the essential functions of the job. Bilingual in Spanish and English preferred. Previous legal office experience desired. Experience with Microsoft Office a plus.
